BEFORE YOU START

Before creating your event, make sure that:

  • your plan includes event creation;

  • you have an available credit, if your contract works on credits;

  • an administrator of your organisation will be able to approve your event — unless you are one yourself.

🚨 Allow at least 3 weeks before your event's date: dates less than 21 days away cannot be selected.

STARTING THE CREATION

From the Your events page, click "Create an event" at the top right.

Two messages can appear instead of the creation journey:

  • Plan does not cover it: click "Be contacted".

  • Credits exhausted: delete an event you can still cancel to free its credit, or contact your project manager.

STEP 1 — YOUR EVENT DETAILS

Every field is required.

  • Event name: visible to candidates and companies.

  • Format: On-site (type the address and pick a suggestion) or Virtual.

  • Visibility: Private (link only) or Public (visible across Seekube).

  • Language: default language for communications.

  • Meeting format: one per event.

💡 With the Appointments format, the ✨ Seeka option appears: the AI agent that prepares candidates for their interviews.

Click "Next": your event is created and saved as a draft.

STEP 2 — KEY DATES AND PLANNING

Select the meeting period (09:00 → 18:00 by default). Tick the box if your event is in another time zone.

The planning is generated automatically:

Click "Confirm dates".

STEP 3 — CRITERIA

All criteria are optional. They let candidates filter job offers, and recruiters filter candidates:

Contracts · Length of time available · Mobility · Functions · Start date · Current education level · RQTH status

💡 "Length of time available" is disabled if you only select a permanent contract.

💡 "Functions" is a tree: job families are kept automatically.

Click "Validate criteria".

STEP 4 — THE LANDING PAGE

Click "Create the landing page" to open the editor.

Customise the blocks, then click "Confirm and continue" to return to the journey.

💡 The landing page stays editable later.

STEP 5 — CONGRATULATIONS (AND APPROVAL)

  • If you are an administrator: approval is automatic, you carry straight on.

  • Otherwise: an email goes to your organisation's administrators. The buttons stay inactive until one of them approves; you will get an email with a link to resume.

STEP 6 — PARTICIPATING COMPANIES

Add one row per company: name + the email addresses of the recruiters to invite.

Click "Confirm N companies": the recruiters are invited and the event is published.

STEP 7 — YOUR EVENT IS LIVE

Three actions are available:

  • copy the invite link;

  • view the added companies;

  • view the event.

🚨 Share the link on the day the platform opens to candidates, not before: it avoids any confusion between pre-registration and registration.

LEAVING AND COMING BACK LATER

You can close the journey at any time with the cross, top right. On the Key dates, Criteria and Landing page steps, a confirmation appears: the event is saved as a draft.

To find it again: go to "Your events" then filter on "Draft".

Click "Continue draft" to reopen the journey on the right step, with your answers pre-filled.

APPROVING AN EVENT (ADMINISTRATORS)

On the draft card, click "Approve".

The recap gathers the information, the criteria and the planning. Check it, then approve: the creator immediately receives an email to resume at the companies step.

EDITING YOUR EVENT AFTER PUBLICATION

Go to the event's settings, which have three tabs:

  • Details of the event: information, organisers, key dates.

  • Event criteria: editable until candidate registration opens.

  • Share: the public link, with a "Copy" button.

🚨 Three locks to know about:

  • the format (on-site/virtual) can no longer be changed once the event is published;

  • you cannot remove the last organisation or the last collaborator;

  • the dates are frozen as soon as company preparation has started (the "Edit dates" toggle unlocks the fields while it's still possible).

DUPLICATING OR DELETING AN EVENT

  • Duplicate: from the settings, click "Duplicate the event" to reopen the journey pre-filled. It consumes a credit.

  • Delete: open the card's menu then click "Delete". Deleting a draft frees its credit.

FREQUENTLY ASKED QUESTIONS

Can I create an event less than 3 weeks ahead? No, dates under 21 days are blocked.

Can I change the format afterwards? The meeting format, yes. On-site/virtual, no, once the event is published.

My event isn't showing in the list, why? It's probably a draft: use the "Draft" filter.

The administrators received nothing, what should I do? They can approve directly from the drafts list, without waiting for the email.

My event is approved but not published, why? Publication happens when you confirm at least one company (step 6).

Can I add companies after publication? Yes, any time from the Companies tab.

What is a reserved credit? An event created but not yet held. Deleting it frees the credit.
